Student Organization Support

 

Support is available to ASUO-Recognized Student Organizations through the Student Organization Leadership Support team. The Student Organization Leadership Support team (SOLS), an Incidental Fee-funded service coordinated by Student Government Engagement and Success, is available to assist ASUO-Recognized Student Organizations in many ways:

  • Event planning information, guidance, and consultation
  • Policy and procedural information as well as navigational guidance and referrals
  • Support and problem-solving consultation for non-routine organizational issues and situations
  • Trainings, workshops, publications, and one-to-one or small group education on topics such as goal setting, recruitment, communication, organizational management, accountability, fundraising, and marketing
  • Technological support on resources available to student organizations, including the Campus Labs/Engage student organization management platform
  • Consultative support on ASUO-managed processes, such as student organization recognition and renewal as well as student organization reporting

The SOLS team also coordinates in-person group trainings and workshops annually and by request. Invitations are circulated by email to the registered leaders of ASUO-Recognized Student Organizations in advance of each session.

University Resources and Services Available to Student Organizations

Attendance Data Collection, File Sharing, and Membership Management Through the Campus Labs/Engage Platform

Engage is a data management platform used by student organizations to track membership and contact information, record event attendance, announce activities, and store organizational data, such as minutes and bylaws. Student organizations are required to maintain an accurate listing of their organization’s leaders in the Engage platform, as access to dozens of campus resources is tied to the Engage roster system. Student leaders should contact the SOLS team to request changes to their organization’s Engage rosters.

Banner Over 13th Avenue

Student organizations may request a one-week reservation to hang a single-sided banner over 13th Avenue to promote their event or activity. The banner must be produced by the student organization and must adhere to size restrictions. Reservations are available at no cost and may be requested through Scheduling and Event Services. A fee and supplemental reservation with Campus Planning and Facilities Management is required to hang up and take down the banner.

Catering, Meal Delivery, Food Set-up and Serving Service Through University Catering

ASUO-Recognized Student Organizations with a line item in their Incidental Fund budget for the event or activity they are coordinating are required to utilize University Catering for any food or meals associated with their activity. A host of services and a wide variety of meals and menus are available through University Catering, including breakfast, lunch, boxed meals, appetizers, reception platters, buffets, desserts, beverages, and meals customized to your needs.

Event and Craft Supplies and Poster Distribution

The Center for Student Involvement (CSI) has a variety of resources available to student organizations and student organization leaders, including a poster distribution service, an equipment check-out center, and space for your organization’s office hours. CSI is located in 213 EMU.

Event Tickets Through UO Ticket Office

Student organizations who wish to produce ticketed events are required to work with the UO Ticket Office, who is available to coordinate ticket sales, ticket printing, conference registration, and on-site event sales and staffing. Some services require a fee. The UO Ticket Office is located on the ground floor of the EMU.

Financial Services Through Student Organization Financial Support

ASUO-Recognized Student Organizations may request an annual Incidental Fund budget as well as supplemental funding throughout the year from ASUO. Financial information, guidance, consultation, and support is available to students registered in Engage as leaders of their organization through Student Organization Financial Support (SOFS). This service is coordinated by Student Government Engagement and Success, a department-based program funded by the Incidental Fee.

Mail and packages which arrive to the attention of an ASUO-Recognized Student Organization will be retained at the ASUO Front Desk for six months for student organization pick-up during business hours. The ASUO Front Desk team will alert students registered in Engage as leaders of their organization by email regarding the arrival of packages addressed to their organization.

Leadership Stipends

Positions with ASUO and ASUO-Recognized Student Organizations offer students opportunities for learning and leadership development. Students in pre-identified positions within eligible organizations may receive a fixed monthly allocation called a stipend. This program is governed by ASUO and coordinated jointly by Student Government Engagement and Success and the Division of Student Life.

Printing: Multifunction Printer and Copiers

ASUO-Recognized Student Organizations with a line item for copying and printing in their Incidental Fund budget may use the multi-function printer and copiers which are in the Center for Student Involvement and the Multicultural Center. A code will be needed; students registered in Engage as leaders of their organization may obtain this code from the ASUO Front Desk during business hours.

Printing: Print Services

ASUO-Recognized Student Organizations with a line item for printing in their Incidental Fund budget may utilize the services available at Print Services. This campus-based service center provides quality printed items at competitive prices. Contact them for business cards, oversized banners, decals, posters, and customized printing.

Room/Space Reservations and Services Through Scheduling and Event Services

ASUO-Recognized Student Organizations have access to hundreds of campus rooms and spaces, including outdoor spaces, as well as IT and equipment set-up support services at discounted rates. Many spaces are available to ASUO Organizations without a fee. Requests must be made by a student organization leader as identified in the Engage Platform. Room/Space Reservations Through Campus Partners

ASUO-Recognized Student Organizations with a line item for their event or activity in their Incidental Fund budget may pay to reserve spaces in less commonly used locations managed by campus partners.
Examples include:

  • Rec Center studios, mat rooms, courts (including McArthur Court), fields, and classrooms can be reserved through PE and Rec.
  • Dance and movement-appropriate spaces, including studios with mirrors and basketball courts can be reserved through PE and Rec as well as the School of Music and Dance (SOMD).
  • Library-sponsored study rooms, classrooms, presentation spaces, and specialty spaces such as the Idea Space, DREAM Lab, and MakerSpace can be reserved through UO Libraries.
  • Large venue athletic spaces, such as Matthew Knight Arena, can be reserved through UO Athletics.
  • Beall Hall, a large venue auditorium, as well as Collier House, Gerlinger Annex, 119 Gerlinger, and Berwick Hall can be reserved through SOMD Scheduling and Events.
  • Residence Hall-based community rooms can be reserved through UO Housing.
  • Ford Alumni Center-based conference/meeting rooms as well as the Giustina Ballroom, Pape Hearth, or Barker Courtyard spaces can be reserved through Ford Event Services.

Storage Units Through the Center for Student Involvement

Student Organizations who do not have an office space on campus may utilize storage units in the Center for Student Involvement (CSI) to store their items. Storage spaces are available on a first-come, first-served basis and require annual renewal. CSI is located in 213 EMU.
